A bank sends an account opening form. A college sends an admission form. Your employer sends a joining form, or a government office sends an application as a PDF. All of them say the same thing: fill it in, sign it and send it back.
The old way is to print the form, fill it by hand, sign it, scan it and email it. If your handwriting is untidy, or you make one mistake, you start again with a fresh printout.
You can skip all of that. With the free InstantToolsPro PDF Editor, you can type directly onto the form, tick the boxes, add the date, sign it and download it in a few minutes. It works in your browser, with no app and no account.

What You Can Do on a PDF Form
The PDF Editor puts your entries on top of the page, exactly where you place them. That means it works with almost any form: a form you downloaded, a scanned copy, or a PDF someone emailed you. Four tools do most of the work:
- Text: type your name, address, phone number and other details.
- Stamp (Marks): add a tick ✓ or cross ✕ for checkboxes and yes/no questions.
- Stamp (Date): add today’s date in a format you choose.
- Sign: draw, type or upload your signature.
Before You Start
A little preparation saves time:
- Keep your details ready: name, address, ID numbers, dates and so on, so you are not searching for them halfway through.
- Use the original PDF. A clear, straight copy of the form is easier to fill than a blurry photo.
- Keep an unfilled copy. Save the blank form first. If you make a mistake or need to fill it again, you can start fresh.
- Check what the form needs. Some forms ask for a handwritten signature, a witness or an attached document. A filled PDF will not replace those, so read the instructions first.
Step by Step: Fill a PDF Form
Step 1: Open the PDF Editor. Go to the free PDF Editor and upload your form. It opens in your browser.
Step 2: Zoom in on the first section. Use the zoom control at the bottom. Zooming in makes it easier to place text exactly on the line.
Step 3: Click Text. Choose Text in the left toolbar, then click on the form where your answer goes. Type your answer.
Step 4: Adjust the text. Move it so it sits on the line, and resize it so it fits the box. Keep it smaller than the field, so it does not touch other text.
Step 5: Repeat for each field. Add your name, date of birth, address, phone number and so on. Work from the top of the page down, so you do not miss a field.
Step 6: Tick the boxes. Open Stamp, go to the Marks tab, choose the checkmark, pick a colour and press Add to page. Place it inside the checkbox. Use the cross for options you want to mark as no. See our guide on adding stamps, ticks and dates to a PDF.
Step 7: Add the date. Open Stamp again, go to the Date tab, choose the format the form uses (for example 18/10/2026) and add it next to the date field.
Step 8: Sign. Open Sign, draw, type or upload your signature, and place it on the signature line. See how to sign a PDF online.
Step 9: Review every page. Zoom out and read the whole form once. Check spelling, numbers and dates.
Step 10: Download. Press Download to save your filled form.
Example: Filling a Bank Account Opening Form
- Open the form and zoom in on page 1.
- Use Text to add your full name, father’s name, date of birth, address and mobile number.
- Use Stamp > Marks to tick the account type (savings or current).
- Use Stamp > Date to add today’s date next to the declaration.
- Use Sign to add your signature at the bottom of each page that needs it.
- Download the file and send it to the bank or upload it on their portal.
Example: Filling a College Application Form
- Open the application PDF and fill your personal details with Text.
- Tick the course or category boxes with the checkmark.
- If the form asks for a photo, use the Image tool to place your passport-size photo in the photo box.
- Add the date and your signature.
- Download and submit.
Example: Filling a government or Office Form
- Fill each field in block capitals if the form asks for it.
- Use ticks for yes/no questions.
- Add the date and sign at the end.
- Check whether the form needs a self-attested copy of your documents. You can add a SELF ATTESTED stamp to those copies. See our stamp guide.
Tips for a Clean-Looking Form
- Zoom in before placing text, so it lines up with the printed line.
- Use one font size across the form, so it looks tidy.
- Do not cover printed text. Keep your entries inside the boxes and on the lines.
- Use black or dark blue for text. It looks the most professional and prints clearly.
- Match the date format the form uses.
- Fix mistakes with Undo. If you place something in the wrong spot, undo it and place it again.
- Do not overfill. If an answer is too long for the box, shorten it or write it in an attachment if the form allows.
- Save your signature with “Save on this device for next time” ticked, so you can reuse it on other forms.
What If the Form Has a Mistake in It?
If the form itself has a spelling mistake or the wrong detail, you can change the existing text with the Edit text tool. See how to edit text in a PDF. Only do this if the form is yours to change, for example your own company’s template. Do not alter forms issued by banks, colleges or government offices.
What If the Form Has Private Details?
If you are sharing a filled form that contains details you do not want others to see, hide them before you send it. See how to redact a PDF. Remember that Draw, Shape and Highlight only sit on top of the page and do not hide what is underneath.
Can You Fill a Form on Your Phone?
Yes. The editor works in a mobile browser. Zoom in before placing text, and use your finger to draw your signature. Filling a long form on a small screen takes more patience, so for forms with many fields a laptop is quicker.
Is It Private?
Editing in the PDF Editor happens in your browser, so your form is not sent anywhere while you fill it. Your signature is saved only on your own device, and only if you choose to save it.
Is a Filled PDF Accepted?
For many everyday uses it is, such as internal office forms, college forms submitted online and applications sent by email. Some organisations, though, need a handwritten original, a digital signature certificate (DSC), Aadhaar eSign or a specific online form. Check the instructions from whoever will receive the form before you submit.
Final Thoughts
Filling a PDF form does not need a printer. Type your answers, tick the boxes, add the date, sign it and download. The whole thing takes a few minutes, and you can reuse your saved signature next time.
