Your bank sends a form. Your landlord sends a rent agreement. A company sends an offer letter. All of them say the same thing: “Sign and send back.” The old routine is to print the PDF, sign it with a pen, scan it and email it again. That costs you time, paper and sometimes a trip to a cyber cafe.
You can skip all of it. The free InstantToolsPro PDF Editor lets you sign a PDF directly in your browser. You can draw your signature, type it in a handwriting style, or upload an image of your real one. This guide walks through each option, with examples and tips.

What Is the Sign Tool?
The Sign tool is one of the tools in the PDF Editor’s left panel, next to Text, Edit text, Image, Shape, Highlight, Redact, Pages, Stamp, Watermark and Draw. When you click Sign, a box titled Add your signature opens. It has three tabs (Draw, Type, Upload), a choice of ink colour, and a list of your saved signatures at the top.
When Should You Use It?
- Bank and insurance forms: Sign application forms without visiting a branch.
- Rent and service agreements: Add your signature and return the file the same day.
- Job documents: Offer letters, joining forms and declarations.
- College and exam forms: Sign declarations and consent forms.
- Invoices and approvals: Sign off a document before passing it on.
- Everyday paperwork: Any PDF that only needs your signature.
Option 1: Draw Your Signature
Draw gives the most natural result because it looks like your own handwriting. You sign inside a white box using a mouse, trackpad, or your finger on a phone.
- Pick an ink colour first: black, blue or red.
- Sign inside the box. If you make a mistake, press Clear and try again.
- On a laptop with a mouse, draw slowly. A trackpad or a touchscreen gives smoother lines.
Blue ink is a good choice because it looks like a real pen signature on a printed page.
Option 2: Type Your Name
Type is the fastest option. Enter your name and the tool shows it in four handwriting styles. Tap the style you like and the preview updates below.
This works well when you need a clean, readable signature and do not need it to match your real one exactly. You can use the same three ink colours here too.
Option 3: Upload an Image of Your Signature
If you already have a signature on paper, Upload lets you use it. Choose a photo or image of your signature and a preview appears before you place it.
For a clean result:
- Sign with a dark pen on plain white paper.
- Take the photo in good light, straight from above.
- Crop out the extra space around the signature before uploading.
Save Your Signature for Next Time
At the bottom of the box is a checkbox: Save on this device for next time. When it is ticked, your signature appears under Saved signatures the next time you open the editor, so you do not need to draw it again.
You can remove any saved signature with the small red ✕ on its thumbnail. Saved signatures stay on the device and browser you used. On a new phone or laptop, create it again.
Step by Step: Sign a PDF
Step 1: Open the PDF Editor. Go to the free PDF Editor and upload your PDF.
Step 2: Click Sign. Find Sign in the left tool list. The “Add your signature” box opens.
Step 3: Choose Draw, Type or Upload. Create your signature in the tab you prefer.
Step 4: Pick your ink colour. Black, blue or red.
Step 5: Decide on saving. Keep “Save on this device for next time” ticked if you will sign again. Untick it for a one-time signature, for example on a shared computer.
Step 6: Click Use signature. The signature is ready to place on the page.
Step 7: Place it. Put the signature on the signature line, then move or resize it until it fits.
Step 8: Download. Review your pages and press Download to save the signed PDF.
Example: Signing a Rent Agreement
- Open the agreement in the PDF Editor and go to the last page.
- Click Sign, choose Draw, pick blue ink, and sign.
- Click Use signature and place it above your printed name.
- Add the date next to it using the Stamp tool’s Date tab. See our guide on adding a stamp, date or checkmark to a PDF.
- Download the file and email it back.
Example: Signing Every Page of a Form
Some forms need a signature or initials on each page.
- Create your signature once and keep “Save on this device” ticked.
- Add it to page 1.
- Open Sign again, tap your saved signature, and add it to the next page.
- Repeat for each page, then download.
Tips for a Clean-Looking Signature
- Zoom in before you place it, so the signature sits right on the line.
- Keep it on the line, not over printed text, so nothing becomes unreadable.
- Keep the size realistic. A signature that is too big looks odd on a form.
- Use one colour across the document. Blue or black looks the most professional.
- Fix mistakes first. If the document has a typo, correct it before you sign. See how to edit text in a PDF.
- Hide private details before sharing the signed copy. See how to redact a PDF.
- Keep your original. Save an unsigned copy before you start.
Is a Signature Image Valid?
For everyday needs like internal forms, school and college declarations, and approvals sent by email, a signature image is widely accepted. But some documents need more. Government and legal processes may ask for a digital signature certificate (DSC), Aadhaar eSign, a notarised signature or a handwritten original. A drawn, typed or uploaded signature does not replace these. If you are unsure, check the rules of the organisation receiving your document before you submit.
Sign vs Stamp vs Watermark: What Is the Difference?
- Sign adds your personal signature.
- Stamp adds labels like PAID, APPROVED or SELF ATTESTED, plus ticks and dates.
- Watermark repeats faint text, such as DRAFT, across the whole page. See how to add a watermark to a PDF.

Is It Private?
Editing in the PDF Editor happens in your browser. Your saved signatures stay only on your own device, and only if you tick the save option. You can delete them any time with the red ✕.
Works on Mobile Too
You can sign from your phone’s browser. Drawing with your finger feels like signing on paper. Zoom in before placing the signature and use Undo or Redo if you put it in the wrong spot.
Final Thoughts
You do not need a printer, a scanner or an account to sign a PDF. Draw it, type it or upload it, place it on the line and download. The whole thing takes about a minute.
